Definitions of key terms and concepts used throughout the Kognitos platform.

A

Automation

A production-ready workflow in Kognitos. Automations are the published, locked versions of drafts designed for reliable, repeatable execution. They represent specific business tasks, such as Validate Invoice or Send Payment Reminder.

Action

An operation defined by an integration that determines what tasks can be performed, such as reading data from a spreadsheet, sending an email, or creating a record in a CRM. Once an integration is configured in a workspace, its actions become available for use in drafts and automations.

Action Item

A group of one or more automation runs that are affected by the same exception and require user review and resolution.


C

Connection

A configured link between Kognitos and an external system or service. Connections store authentication credentials (API keys, tokens, login details), environment settings, and version information. They are secure and reusable across multiple automations.

Custom Actions

Integration-specific actions that must be discovered and enabled before use. Integrations like SAP and Salesforce have custom actions that need configuration to control which specific services or operations are accessible within a workspace.

CXO

A role with read-only executive access to organization or workspace activity, providing administrative oversight.


D

Draft

An editable, work-in-progress version of an automation. Every automation begins as a draft, allowing users to build and refine instructions through conversation with Kognitos before publishing.


E

Exception

An error or unexpected condition that prevents an automation from completing successfully. Exceptions occur when Kognitos encounters missing or invalid data, failed integrations, or scenarios it hasn't been taught to handle.


G

Guidance

Input provided to the system on how to proceed when an automation encounters an exception. Guidance consists of saved resolution steps and instructions that can be automatically applied when the same issue recurs.

Guidance Center

The central interface for managing and resolving exceptions across automations. It displays all open exceptions organized by automation and exception type, with metrics on automation health and performance.


I

Inputs

Data that an automation needs to run. Inputs can be manual (files, text, references) or automatic (new files in a folder, spreadsheet rows, form submissions, API responses). Kognitos identifies required inputs based on task instructions.

Integration

A collection of actions that enable Kognitos to work with specific tools, platforms, services, or objects. Each integration provides specific actions that can extend your automation capabilities, such as "create a ticket", "extract data from a PDF", or "update a record".

Integrator

A workspace role focused on managing integrations and connections.

Member

A workspace role that provides basic access to view workspace content.


N

Neurosymbolizing

The process Kognitos uses to convert natural language instructions into executable automation steps. The term combines "neuro" (neural networks/AI) with "symbolic" (logical rules and structures), reflecting how Kognitos blends natural language understanding with structured workflow logic.


O

Organization

The top-level container in Kognitos representing a company's account. Organizations hold all workspaces and allow centralized management of users and settings. Every single user belongs to at least one organization.

Org Admin

An organization-level role with full administrative access for managing the entire organization.

Outputs

Results produced by an automation, representing completed work (updated spreadsheets, database entries, reports, etc.).

Publishing

The process of converting a draft into an automation. Publishing creates a locked, production-ready version that can be reliably and repeatedly executed.


R

Run

A single execution of an automation. Run details include start time, status, inputs processed, and records/files involved.


T

Trigger

An event that automatically starts a run of your draft or automation. Common triggers include receiving an email or reaching a scheduled time. Once triggered, your automation runs without manual intervention.

Troubleshooting Guide

A collection of guidance entries that teach automations how to handle exceptions automatically. When an exception occurs, Kognitos checks the guide for resolution instructions and applies them without manual intervention.


W

Workspace

A dedicated section within an organization where automation projects live. Workspaces organize different processes, teams, or initiatives and operate independently with their own users, permissions, and automations.

Workspace Admin

A workspace role with full administrative access for managing the workspace.
